SCAN EDIT
After collecting the completed pledge forms, you are ready to begin processing. The best way to do this is by scanning the cards. In this chapter you’ll learn to:
Scan pledge forms
Search the database
Manually enter data
Change a pledge

1. CLICK Scan Edit on the Main Menu.
2. Begin scanning (If the pledge forms are personalized, you may scan by card number.) Check the scan by card # box. (Upper right)
Note: Pay attention to the data being processed on the screen.
Note: The SDSI system checks cards for errors, and any action required by the operator before collecting data. If the card is not readable, an error message will halt scanning. When action is required by the operator, a pop up screen will appear and highlight the areas you need to address.
3. If you wish to find an employee in the database, you can CLICK inside the last name field, and CLICK the binoculars in your tool bar or Edit/Find. Key enter the last name, CLICK Find first, the record will then appear on the screen. You may also manually enter or change data using your mouse in the ADMIN setting (upper right.) Click pop-up Button to manually enter data in pop-up fields.
4. The SDSI system uses an automatic time and date stamp to track records. This system records the first and last time the card was scanned (bottom left.)
Tip: Put a rubber band around every 50 to 100 records with a post-it note with the time and date. If you need to locate an actual pledge card, it will make it very easy to find.
5. If you are asked to designate funds to additional agencies, simply scroll to the bottom of the scan edit screen and manually enter them. Use the Add Agency Write In button to add those agencies not located in the database.
Tip: Use the down arrow button to search the agency database in the designation fields.
6. The Clear Data button will delete all the data for the record shown on the screen.
7. A total number of records is shown bottom left. You may also browse the database using the arrow buttons.
8. CLICK User Fields to add scan comments.
NOTE: ALWAYS RUN AUDIT REPORTS AFTER SCANNING!
9. CLICK exit door to return to Main Menu.
