THANK YOU & CORRESPONDENCE BY LETTER OR EMAIL
Communication with employees is easy with this feature. Send any type of message about the campaign or give same day thanks for pledge contributions. In this chapter you’ll learn to:
Print letters
Send email messages
Select letter format
Select email format
Import signature
Email daily reports to coordinators
Email summary reports to management
1. To produce a letter, CLICK on the type of letterform in menu list.
2. Select company, primary, secondary, and third sort. (optional)
3. Select begin and end dates. (optional)
4. Select batch numbers. (if used)
5. Select range of dollar amount. (optional)
Note: You can CLICK Select Letter button to create a letter or view and make changes to existing letters. Use the arrow keys bottom left to view all existing letters.
Tip: Give each letter a name to identify what message (from reports menu) it conforms to. Example: Thank you with pledge amount.
6. CLICK return to menu button.
7. Choose screen or print.
8. CLICK printer icon.
1. To send email, Select email form in menu list.
2. Follow steps 1 through 5 and CLICK E-mail Letter to send message(s) electronically.
Note: You may also CLICK Email Daily Reports to Campaign Coordinators to automatically send reports. You will instantly send coordinators a report telling them the lowest and highest percent of cards returned and where they rank amongst their peers and who in their group has not yet returned a card.
Note: Click the Management button to send summary reports to key management personnel or United Way staff.
