Chapter 9
IMPORT
After “United Way the Easy Way” is installed on your system, you can Import your data into the database. To do this you must first create an Excel spreadsheet. In this chapter, you’ll learn to:
Assign card numbers
Insert company logos
Personalize pledge forms
Import data



CALL SDSI FOR INFORMATION ABOUT PAYROLL / INTRANET
CLICK Import on the Main Menu.
CLICK employee data (Agency data should be pre loaded by SDSI.)
Step 1 – CLICK Select Import File button, find and highlight the file you wish to import, then CLICK on OPEN.
Note: Visually check file to be imported below step 1.
Step 2 – CLICK Import New Excel Data button. CLICK OK. Employee data will appear in a temporary file.
Note: Check number of Records Imported. If you import incorrect data, you’ll need to use the Delete Data button to delete data in the temp file.
Step 3 – Enter the starting card number in the first batch of cards to be printed. Located on the front right side of pledge card in black ink.
Step 4 – Enter the # inside Records Imported box.
Step 5 – CLICK Assign Card Numbers button. CLICK OK. Numbers will appear in the temp file.
Step 6 – If you wish to add or change logos on cards, CLICK Open Logo Form button, follow steps 1 and 2 seen in Logo Form. (You must CLICK inside logo box before inserting.)
Tip: To place logo on clipboard or Word document you must use: Insert/picture/from a file then copy.
Step 7 – CLICK Personalize Cards button.
Note: Before printing cards, you must print a card number to a blank sheet of paper (enter same card # for first and last card to print) to proof content, location, and preview everything you wish to print on the card. You must overprint card # ! CLICK Print Card Design button, to customize and adjust card layout. (It may take several test prints using blank sheets of paper to perfect a card.) Remember: every printer is different and may require separate card design.
Tip: In Print Card Design, CLICK on the data field to be adjusted. Then move the highlighted field by using the Ctrl button and arrow keys. You can bring in new fields by Clicking Fields List icon. Highlight and drag field onto the page. Use File/Print to preview.
Important: you must over print card #, and it must match #’s preprinted on pledge cards. Only after card design is complete:
Step A – Enter the first card number to be printed
Step B – Enter the last card number to be printed
Note: At this time load the cards into the printer making sure they are loaded right side up. (You may want to experiment with marks on a blank sheet.)
Step C – CLICK Print Cards button to begin printing.
Check to make sure over print numbers match the card numbers! Card numbers must match to be printed successfully!
After printing cards, Click exit door to continue.
Note: Only transfer records that are printed successfully!
Cards without matching numbers are NOT printed successfully!
Step 8 – Enter the first card # printed successfully.
Step 9 – Enter the last card # printed successfully.
Step 10 – Click Transfer button/OK to transfer data to database. The records transferred will delete from the temporary file above.
Note: If your Printer pulls two pages at a time,
1. Transfer cards printed successfully.
2. Repeat steps 3, 4, 5, 8, 9, and 10 only for those cards not printed successfully.
Note: If your printer jams,
1. Purge the print job.
2. Transfer cards printed successfully.
3. Repeat steps 3 through 10 only for those cards not printed.
